Team Manager Description


Team Manager (TM) List of Volunteer Responsibilities:

A Team Manager is vital to the organizational success of our team. This leadership position requires someone who is organized, able to communicate and delegate duties, and is, a liaison between parents/guardians, coaches, and the director! Many people make light work. Coaching staff need to focus on coaching the Athletes.

Every season, this position NEEDS to be filled and to thank you, the club will give you 10% off of your athlete’s fees.

1. Register on our website as a staff volunteer, complete the paperwork required by VA and police check with mybackcheck. An invite to Sterling will be emailed to you.


2. TM’s are responsible for collecting the Volunteer Deposit Cheque for $600 from each family. This cheque can/will be deposited if a family does not do their volunteer requirements for the team/club.

3. Communicate using RAMP Team App.

  • Help the Coach with athlete Availability
  • Social Media Person - Communicate and monitor team and online pictures.
  • Liaison between athletes, coaches, parents and, director.
  • Schedule Gym Practice Monitors.

    Monitor Duties Sheet:

1. Canceled Practices MUST be communicated with facilities, ASAP. It is school policy that 3 No-shows will result in suspension of gym use for our entire club.
2. Entry will not be available early. Please come to entry 10 mins. early, only.
3. Coaches, TM, or an Adult MUST stay until all athletes are picked up so, please make sure your rides are arranged in advance. Thank you!

5. Door Duty - NO propping the door open EVER! School policy states that this is grounds for gym suspension for our entire club for 5 business days.
6. Make sure all outdoor shoes are OFF and to the sides. There must be a clear path down the middle. (EMS access or other)
7. Ensure all equipment is back where it belongs, is neat and tidy, regardless of whether it was not right when you came. ALWAYS LEAVE THIS ROOM BETTER THAN YOU FOUND IT!
8. Ensure all garbage, water bottles, jackets, etc. are picked up and taken or put in lost and found at the school.
9. Take a picture of the equipment room once all is back and in place.
10. Email before and after pictures to admin@triareawarriors.com
11. Suggest that TM’s make a schedule at the beginning of the season. Adults unable to take their shift are responsible for finding their own changes.


4. Organize a Social Media (SM) person to gather pictures, communicate with club SM Coordinator. This will be the ONLY person to forward potential SM for any Tri Area Warriors sites.

 

5. Team Building and Fundraising - You may want to appoint a parent to be the main contact for this. Teams are welcome to choose their fundraisers. However, the club is willing to assist:

  • The club will forward any opportunities to the TM’s.
  • The club may have team-building events prepared for teams however, TM are responsible for gaining a maximum of 2 other team-building events with the coach. The budget for these will be given to you and is approx. $10-15 per athlete/event. If you need more money the extra would be up to the team/families.
  • Host tournaments as a fundraiser. For example, silent auction (which the club will help with paper, printing, and letter templates for asking for products. Putting on Facebook has been a great success in the past.
  • The club has letters on file to be used by teams for asking companies for sponsorship.

Team money:
1. Use the club bank
2. The treasure will keep track of the money in an excel spreadsheet. This sheet will be emailed to the TM. Not how you will distribute that money. You deposit with club and the treasure will e-transfer or write you a cheque for that amount or whatever portion of it you want when you want it into the TM’s account for access.
3. Separate team bank accounts have caused MAJOR issues in the past. TM’s and the treasure are capable of keeping this money for teams at no cost or documentation changes.
F. If you need to use AGLC (AB Gaming Liquor) please talk to the club Casino coordinator as I don’t know about this side of things except that you need to follow the rules closely.


6. Tournament Duties:

  • Schedule parents for scorekeeping duties for ALL tournaments.
  • Organize hotel blocks for out-of-town - Please see the VA website for further information.
  • Organize Provincial Swag order and collect $. Not included in fees. This is a team decision.
  • Decide if you are traveling as a team or separate as families
  • Organize meals either as a group or individual and cost for Out-of-town tournaments
    NOTE: ALL athletes under 18yrs MUST be accompanied by a responsible adult person! TM is NOT responsible for other athletes.


7. Host Tournament Organization: Using Ramp to assist makes this easy. Duties are posted to the website under the volunteer tab. Training is provided. Each family is expected to sign up for 2-3 items from the lists.

  • Confirming all tournament duties are filled by Monday week before.
  • Food for coach/ref room (sandwiches, vegetables, fruit, squares & drinks)
  • Teams for set up and take down
  • Schedule workers for concession if you are doing a concession (this should be voted on in planning stage of tournament)
  • If doing a concession, the club will supply the float for the concession
  • Assign or TM will need to pick up food to sell at tournament
  • Book 1-2 people to work the concession in shifts throughout the day
  • Runners - These people look after the Ref’s (give them water), tidy and keep
    organized the ref/coach room/food, and most importantly get the scoresheets and deliver to the tournament organizer.
  • Schedule Writer - This person marks game results on Results board as needed with points, win/lose, etc.
  • Award Presenter: - 2 people to thank the teams for coming out, invite back next year, blessings for safe travels home, and of course hand out medals and congratulate them, tell them the results will be posted on our website shortly.


8. If your team votes to go to Nationals (Away Nationals Only) fundraising duties may apply. Further information sheets on this subject will follow.


9. Any other administrative duties that the coach might need help with during the season. Examples: help with jersey fittings, extra tournament requests, pictures, exhibition game set ups


10. Organize or delegate season end party. Coach’s gifts at end of year.
